Terms of Service

Last Updated: September 21, 2026

1. Acceptance of Terms

By accessing or using TenantCore (the “Platform”), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Platform.

2. Description of Service

TenantCore is an outbound email infrastructure platform for operators, agencies, and teams. Depending on plan and feature availability, the Platform may provide Microsoft 365 environment connection and management, domain and DNS workflows, mailbox management, sending-limit configuration, supported sending-platform integrations, infrastructure monitoring and alerts, reporting, and API-based automation.

TenantCore’s canonical infrastructure model uses 12 domains and up to 36 mailboxes per connected environment. Customers can add additional connected environments to expand aggregate domain and mailbox capacity, with mailbox sending limits managed through Microsoft 365 / Exchange controls. Product limits and available capabilities may vary by plan, trial entitlement, account state, provider availability, and future product updates.

TenantCore may offer optional managed Microsoft 365 tenants in addition to customer-connected tenants. Managed tenants use a different administrative model from bring-your-own-tenant environments, as described below.

3. DNS Records and Domain Configuration

TenantCore may generate, display, validate, and monitor Microsoft 365 DNS configuration including SPF, DKIM, DMARC, MX, and domain-verification records.

On eligible plans and supported providers, TenantCore may also publish or update DNS records automatically using a connected provider API or supported Domain Connect workflow. Where automatic DNS is unavailable, the Platform may provide records and guided steps for the customer to publish manually.

DNS automation depends on third-party provider availability, account eligibility, API access, propagation, and other conditions outside TenantCore’s direct control. Customers remain responsible for maintaining authorized access to their domains and provider accounts.

4. Sending Limits and Reputation Protection

TenantCore may configure and enforce mailbox sending limits and related outbound policy at the Microsoft 365 / Exchange layer. These controls operate independently of limits configured inside a third-party sending platform.

Where monitoring and reputation-protection capabilities are enabled, TenantCore may evaluate infrastructure and sending-health signals and may warn, throttle, pause, resume, or suspend sending in accordance with Platform policy, tenant health, provider restrictions, or risk to TenantCore and its partner relationships.

TenantCore does not guarantee deliverability, inbox placement, sender reputation, or the absence of Microsoft or third-party enforcement actions.

5. Customer-Connected and Managed Tenants

For customer-connected (“bring your own tenant” or BYOT) environments, the customer retains its own Microsoft 365 administrative relationship and authorizes TenantCore to perform only the operations required for enabled Platform features.

For Microsoft 365 tenants purchased and managed through TenantCore, TenantCore may retain tenant-level administrative control, billing responsibility, and policy-enforcement access while the customer remains the Microsoft customer of record. Customers of managed tenants may receive a non-privileged Mailbox Access Account and delegated access to mailboxes rather than Global Administrator credentials.

Managed-tenant transfer, cancellation, suspension, reclaim, or release workflows may be subject to lock periods, subscription state, health review, provider limitations, and other conditions disclosed in the Platform at the time the action is requested.

6. Mailbox Access and Credentials

TenantCore may support native Outlook access to eligible mailboxes using a licensed, non-administrative Mailbox Access Account with Microsoft delegation such as Full Access and Send As.

Where credential-management or MFA features are available, TenantCore may use an external secrets-management provider through the TenantCore backend. Customers are responsible for protecting credentials, MFA factors, recovery methods, and other authentication material made available to them.

TenantCore does not grant administrative roles solely because a user has mailbox access. Delegated mailbox access and tenant administration are separate permission models.

7. Sending-Platform Integrations

TenantCore may integrate directly with supported third-party sending platforms and sequencers. Supported integrations can include account connection, mailbox discovery or selection, mailbox synchronization, connectivity checks, connection-state management, and provider-side pause or disable actions where the third-party API permits them.

Customers may also use external sending tools outside TenantCore’s direct integration set where technically supported. Customers remain responsible for campaign content, recipient selection, list quality, third-party account compliance, and the behavior of any sending platform they choose to use.

8. User Responsibilities

Customers are responsible for:

  • Maintaining the confidentiality of TenantCore, Microsoft, DNS-provider, and sending-platform credentials under their control
  • Maintaining required Microsoft and third-party licensing except where a managed TenantCore offering expressly includes it
  • Providing accurate account, billing, customer, and Microsoft Customer Agreement information where required
  • Ensuring lawful and compliant use of Microsoft 365, email infrastructure, domains, mailing lists, and sending tools
  • Operating within sending limits and restrictions configured or enforced by TenantCore or third-party providers
  • Reviewing warnings, restrictions, failed provisioning states, and remediation instructions presented by the Platform
  • All campaign content, recipient targeting, and activity performed using their provisioned infrastructure

9. Acceptable Use

Customers agree not to use TenantCore or infrastructure managed through TenantCore in ways that violate applicable law, Microsoft requirements, third-party provider terms, or these Terms of Service. Prohibited uses include, without limitation:

  • Sending unlawful or prohibited unsolicited bulk email
  • Distributing malware, phishing content, fraudulent communications, or deceptive impersonation
  • Attempting to bypass TenantCore or Microsoft sending restrictions, health controls, or enforcement mechanisms
  • Using provisioned infrastructure in a manner that creates material risk to Microsoft tenants, TenantCore, or its provider relationships
  • Attempting to access resources, secrets, tenants, domains, or mailboxes that do not belong to the authenticated TenantCore account

10. Monitoring, Alerts, Reports, and Enforcement

TenantCore may monitor technical state and operational events necessary to provide health checks, DNS status, sending-location monitoring, alerts, reputation protection, audit history, reports, and automated remediation.

TenantCore may pause, restrict, suspend, or require corrective action where infrastructure presents elevated risk, breaches configured thresholds, violates these Terms, or threatens Platform or provider integrity.

Reports and operational history are informational records derived from TenantCore-observed events and available data. They are not guarantees of complete third-party provider history or recipient-side spam-complaint visibility.

11. Billing and Subscriptions

TenantCore plans and add-ons are billed on a recurring basis according to the pricing and billing interval shown at purchase. Subscriptions may renew automatically unless cancelled in accordance with the applicable checkout or account controls.

Managed Microsoft 365 tenants may create separate recurring third-party subscription costs that TenantCore remains responsible for until the applicable subscription is suspended, cancelled, transferred, or otherwise ended. TenantCore may therefore require successful payment before provisioning and may suspend managed services following non-payment.

Cancellation of TenantCore access does not necessarily reverse DNS, Microsoft 365, or third-party configuration that was already completed. Managed-tenant subscription and transfer behavior may differ from customer-connected tenants.

12. Third-Party Providers

TenantCore relies on third-party services including Microsoft 365, Microsoft Graph, Exchange Online, DNS providers, billing providers, sending-platform providers, and other infrastructure services. Certain managed Microsoft 365 services may be supplied through TenantCore’s Microsoft partner / indirect reseller relationships.

TenantCore does not control Microsoft or other third-party provider policies, API availability, service interruptions, account eligibility rules, suspensions, restrictions, or independent enforcement decisions. Availability of a TenantCore feature does not guarantee continued availability of the underlying third-party service.

13. Data and Privacy

TenantCore stores and processes account, provisioning, resource, configuration, health, integration, and operational metadata required to provide the Platform. Sensitive credentials or MFA material, where supported, may be stored through a dedicated secrets-management architecture rather than ordinary Platform data stores.

Customer data is handled in accordance with TenantCore’s Privacy Policy. Customers are responsible for ensuring their own use of TenantCore, Microsoft 365, sending tools, and recipient data complies with applicable law.

14. Limitation of Liability

To the maximum extent permitted by applicable law, TenantCore is not liable for indirect, incidental, special, or consequential losses arising from use of the Platform, including losses related to deliverability, inbox placement, sender reputation, third-party enforcement, service interruption, provider API changes, DNS configuration, customer campaign activity, or third-party sending-tool behavior.

15. Changes to Terms

TenantCore may update these Terms of Service from time to time. Continued use of the Platform after updated terms take effect constitutes acceptance of the revised terms, subject to applicable law.
